What you will do:
- In line with the aims and objectives of the establishment; It performs its activities in accordance with the principles and principles of the establishment, within the framework of all published regulations, instructions and procedures
- To establish strong internal and external communication with a warm welcoming
- Meet and greet guests to the firm and making the necessary directions
- Fax, managing and routing document traffic
- Carrying out domestic and international courier operations, directing and filing the documents from the cargo to the relevant person, and following up the business in case of possible problems in sending the cargo, calling and informing the relevant person
- Defining the entry card of new recruit (including intern) and identifying the entry card of the guests in return for their IDs, keeping them in the special section reserved for identities and making the necessary records
- Administrative Affairs / Admin Affairs to follow up the tickets, to ensure that the tickets are closed in a positive way by working in coordination with İzmir OFFICE BOY / DRIVER when necessary
- Preparing the performance report of the tickets on a monthly basis
- Purchasing the company’s standard stationery needs from predetermined suppliers
- Performing material stock control (kitchen/stationery/cleaning etc.) every 2 weeks and reporting the deficiencies to the manager every 15 days
- Being responsible for the general arrangement of the common areas in the office
- To provide the necessary support to the departments in temporary but non-periodic secretarial works
- To obtain the documents to be prepared for the visa from the necessary authorities / departments
- To provide service coordination work in company and individual department organizations (Including airport transfers)
- Follow-up and organization of gifts
- In addition to the defined responsibilities, to fulfill the responsibilities brought by the establishment conditions, business scope and management within the scope of their competencies
- To follow up and report the repair-modification-breakdown works of the offices
- Working in coordination with an ISG expert to make our offices compliant with ISG standards
- If reception service is required, answering the incoming calls appropriately, ensuring that they are directed to the relevant persons, and providing information flow via e-mail if the persons cannot be reached
What you should ideally bring:
- At least Associate degree
- Minimum 2 years of experience in a similar position
- Good command in English both spoken and written is a must
- Good knowledge of MS Office programs
- Ability to maintain a positive attitude
- Has a strong desire to learn and explore new technologies, likes to research, and ability to produce efficient solutions
- Collaborative team player, with strong interpersonal skills
- Residency in Urla or its immediate surroundings
- Registered with the Turkish Employment Agency and can be considered as disabled by law (with at least 40% disability)
